0:00 Where you end up
Three venues have answered the same brief, and their prices, holds and commission sit side by side. Here's how it gets there, starting from the client's first email.
0:13 Brief in
A client has emailed a brief. Click New event and paste the whole email in, exactly as it arrived; there's no form to fill in first. eva, the assistant built into eventru, reads it and starts the brief: the client, the scope, forty guests, the 10th and 11th of March. Every detail it picked out of the email is highlighted and numbered, and hovering over one shows exactly where that detail went, so nothing gets lost. Further down it has filled in the location, the budget, the bedrooms, the meeting rooms and the catering.
0:49 eva drafts the event
eva drafts an agenda, a budget and some venue ideas, suggesting venues from your own database and some new ones. Keep the ones you want, glance at the agenda and the bedrooms, and create the event.
1:08 RFP out
The event opens with all of that in place. On the Venues tab, add one more venue from your database, then review and send. The RFP email has written itself from the brief: the dates, numbers, duration and budget, the agenda as a table with the room layouts, and your commission terms. Each venue gets a Submit Response button with its own private link. Edit anything, or just send, and the same for the others: one click each, and the table shows every RFP as sent.
1:42 The venue answers
The venue opens the link with no login and sees the brief in your agency's branding, with the agenda day by day. They say whether they're available, how firmly they can hold the space and until when, and who their contact is. Then they price it line by line: the day delegate rate, the bedrooms and the dinner. Each line can carry commission, so you know what you'll earn before you go back to the client. If they'd rather not itemise, they can upload their own proposal instead and attach floor plans or menus. Then they submit.
2:19 Answers back, compared
Back in eventru, the reply is waiting on the dashboard. On the event, all three venues have answered, and the comparison shows the total and how far each one is under budget, the price per person and the day delegate rate, with the best in each row highlighted. Then the bedrooms and location, your commission from each venue, and how firmly each one is holding the dates. Shortlist Thrale Manor, ready to take to the client.
